1. Introduction

SMART DATA S.R.L. processes limited personal data when you visit smartdata.solutions, contact us, apply for a job, or choose to enable optional Analytics or Functional / External Content. This combined Privacy and Cookie Policy describes the website’s current practices.

2. Who We Are

SMART DATA S.R.L.
IDNO: 1013600038187
11 Veronica Micle Street, Chisinau, Republic of Moldova
contact@smartdata.solutions

3. Personal Data We Process

Website and server data

This website is hosted using DigitalOcean infrastructure in Frankfurt, Germany. Normal HTTP requests may therefore generate technical information at server or infrastructure level, including an IP address, browser and device information, requested URLs, timestamps, and technical or server logs. This website does not provide a contact form that separately collects these details.

Communications

We process information you voluntarily provide when you contact us through contact@smartdata.solutions, by telephone, or through another published contact channel. Business email is provided through Google Workspace.

Recruitment

We process information contained in CVs, applications, and related communications sent to hr@smartdata.solutions. These emails and attachments are handled through Google Workspace.

Providing contact information, message content, or recruitment information is voluntary. However, if you do not provide information reasonably needed for an enquiry or application, we may be unable to respond or assess the application.

Analytics

Only when you explicitly enable Analytics, Google Analytics 4 may process online identifiers, device and browser information, approximate location information, and interaction and usage information.

Google Maps

Only when you explicitly enable Functional / External Content, Google Maps may receive technical information such as your IP address and browser or device information.

4. Why We Process Personal Data

  • To operate, maintain, troubleshoot, and secure the website.
  • To respond to enquiries and discuss potential business relationships and services.
  • To manage recruitment and evaluate candidates.
  • To understand website usage where Analytics consent has been provided.
  • To display optional external content where Functional / External Content consent has been provided.

6. Data Retention

Technical and security logs are retained only for as long as reasonably necessary for security, troubleshooting, and operational purposes. Business correspondence is retained as reasonably necessary for the business relationship and applicable legal obligations. Recruitment information is retained for the relevant recruitment process.

We may retain recruitment information for a limited additional period where reasonably necessary and permitted by applicable law, including where a candidate has agreed to be considered for future opportunities.

7. Service Providers and Recipients

We use DigitalOcean as our website hosting and infrastructure provider, and Google Workspace to provide business and recruitment email. These providers may process relevant personal data on our behalf in order to provide their services. This website uses Google Analytics 4 when Analytics is enabled and Google Maps when Functional / External Content is enabled.

Facebook, Instagram, and LinkedIn links are ordinary outbound links. They do not load third-party tracking code merely because they appear on smartdata.solutions; those services process information under their own policies after you choose to visit them. The same applies to external portfolio and client links.

8. International Data Transfers

Our website hosting infrastructure is located in Frankfurt, Germany. Google Workspace and other Google services may process information in countries outside the Republic of Moldova, including through authorised subprocessors. Where a transfer requires safeguards under applicable law, SMART DATA will use a lawful transfer mechanism. You may contact contact@smartdata.solutions to ask for information about safeguards applicable to a transfer.

9. Your Rights

Where applicable, you may have rights to access, rectification, erasure, restriction of processing, objection, data portability, and withdrawal of consent. Withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal. We will respond to a privacy request within the period required by applicable law, normally within one month.

You may also have the right to lodge a complaint with the National Center for Personal Data Protection of the Republic of Moldova (CNPDCP).

This website does not use personal data to make decisions based solely on automated processing, including profiling, that produce legal or similarly significant effects.

10. Cookies and Similar Technologies

This site uses a privacy preference stored in localStorage and optional third-party technologies. The website itself does not currently create general-purpose first-party tracking cookies.

Necessary Storage

smartdata-privacy-consent is a localStorage entry that records your selected privacy preferences. It is necessary to remember your choice and is not an advertising or analytics cookie.

Analytics

Google Analytics 4 is disabled by default and loads only when you enable the Analytics category. It is used for website traffic and usage analytics. Google Analytics may set cookies including _ga and related _ga_* identifiers; this is not an exhaustive list and Google may change its implementation.

Functional / External Content

The Google Maps embed does not load until you enable Functional / External Content. Loading it establishes a connection with Google and may result in Google processing technical information and using its own technologies.

External Links

Links to Facebook, Instagram, LinkedIn, and external portfolio or client websites do not load third-party tracking code merely because they appear here. Those services become relevant when you choose to follow an external link.

12. Recruitment

Candidates may send CVs and application information to hr@smartdata.solutions. We process this information to review applications, communicate with candidates, and manage the recruitment process.

Sending a CV does not mean consenting to all processing. We do not require blanket consent to handle an active application. If we wish to retain candidate information for unrelated future opportunities, we may request separate permission where appropriate.

13. Changes to This Policy

We may update this policy when website practices, technology, or legal requirements change. The current version and update date will always be published on this page.

14. Contact

For privacy-related questions or requests, contact contact@smartdata.solutions.
